Partner network with self-service forms

Contoso works with many partner companies in a shared team. Instead of inviting each partner individually, partners register themselves through a form on the Contoso website. Partners who are no longer active lose their access automatically.

1. Create a guest template for partners

   Create a guest template, e.g. Partner, see Set up guest templates. Under Guest data, define which details are required, e.g. the company. Save the template.

2. Prepare a team for partners

   Create a team, e.g. Contoso Partner Network. The team’s template must allow guest access.

3. Create the form

   Open Guests → Forms and create a self-service form:

   Field	Value
   Domains	Your partners’ domains, e.g. fabrikam.com, northwind.com
   Template	Partner
   Default primary contact	Person who looks after the partner network
   Groups	Contoso Partner Network

4. Embed the form

   Under Embed the form, copy the code and add it to a page on your website. Send the link to this page to your partners.

5. Remove inactive partners automatically

   Set up rules for inactive guests in the guest template, e.g. block after 60 days without sign-in and delete after 90 days. With rules for pending invitations, invitations that were never accepted disappear as well.

Prerequisite

The rules for inactive guests require Microsoft Entra ID P1 licenses. The Inactive guests background job must be enabled under Monitoring → Jobs.
