Naming convention
In the Naming tab you define which details users enter when inviting and what the guest's display name looks like. This lets you see at a glance in Microsoft 365 who is external and which company the guest belongs to.
You find the tab under Guests > Templates: edit the template, Naming tab.
Collected details
Under Collected fields you choose the details collected when inviting. The details are stored as properties of the guest in Microsoft Entra ID.
| Column | Description |
|---|---|
| Field | The detail, for example first name or company. Use Select a field and the plus icon to add more details. |
| Required | Whether the detail is required. The email address is always required. |
| Sort order | Order in the form. Use the arrows to move a detail and the minus icon to remove it. |
By default, Email, First name, Last name, Company and Manager are collected. The following are also available:
- Job title
- Department
- Employee ID
- Office location
- Street address
- City
- Country
- State or province
- ZIP or postal code
Display name
Under Display name format you build the display name from the collected details and any characters you like. Clicking a detail below the field inserts it as a placeholder.
| Format | Result |
|---|---|
(!givenName!) (!surname!) ((!companyName!)) | Anna Muster (Fabrikam) |
Seamless checks guest names regularly and resets them if they have been changed, for example when the guest signs in for the first time.
