How Seamless works for Teams & Sites
Seamless defines how Microsoft Teams and SharePoint sites are created in your company and how they are managed throughout their lifecycle. Admins define the rules once in the Admin Center. Users then create their teams themselves in Microsoft Teams, and Seamless makes sure the rules are followed.
The process
The building blocks
Organisation
An organisation reflects the structure of your company, for example a location or a division. It contains the templates and the rules for creation, archiving and self-service. For users to create teams, you need at least one organisation with an active template. Set up an organisation
Template
A template stands for a use case, for example project, department or customer room. It defines who can create teams or SharePoint sites with it, how they are set up and which rules apply to usage and lifecycle. You can restrict access to a template with security groups. It also determines how a new team is set up, for example whether it is public or private and whether guests are allowed. Templates
Naming convention
Naming rules ensure consistent team names, email addresses and site URLs. In project-based companies, they make sure project codes are used correctly. Naming convention
Permissions
Define who automatically becomes an owner or member of a team and its SharePoint site on creation. Permissions
Approval
Optionally, a request must be approved first. You define the approvers in the template. They can reject a request, adjust the details or approve it. The team is then provisioned automatically according to the template.
Ongoing control
After creation, Seamless keeps an eye on every team:
- Every team has a primary contact who is responsible for communication and management.
- If a team has too few owners, it is flagged until the minimum number is reached again.
- Changes to sensitivity labels, visibility or guest access are detected, reported and reverted if you want.
- When the group expiration from Microsoft Entra ID is due, Seamless sends a reminder in good time to renew.
Archiving
When a team is no longer needed, it is archived. You define which actions are carried out, for example removing guests. In the app settings, you determine whether and when owners can archive themselves. Archiving · App settings
